Registration terms and conditions

Please read the following Optometry Tomorrow 2024 registration terms and conditions.

Fees, cancellations and refunds

Full payment must be received prior to the event. Non-payment of registration fees will result in registration not being confirmed.

In the event of registration cancellation, notice must be given in writing at least 10 working days before the event via email to events@college-optometrists.org. Such notice will not be deemed as received unless the College has issued an acknowledgement to the delegate. Cancellation made within 48 hours of purchasing will be eligible for a full refund. Cancellations made after this point, and before Friday 12 April 2024 will incur a 25% cancellation fee. Please note, no refunds will be provided if a delegate cancels after Friday 12 April 2024.

If you must cancel your registration, we welcome a substitute delegate to attend in your place. Please email the College Events team via email to events@college-optometrists.org as soon as possible if you intend to move forward with the substitute delegate option. Please advise of this substitution by no later than Friday 19 April 2024, and please ensure you provide your contact details and the contact details of the delegate who will be taking over your conference registration.

Workshops

Workshop sessions outside of any included in your ticket must be booked separately at an additional charge of £30-£50 per workshop. Workshop places will be allocated on a first come, first served basis and must be pre-booked. Please review the programme once available before booking on to a workshop.

Please ensure that you arrive promptly for your workshop session(s) as latecomers may not be admitted and may not be eligible to receive the CPD points for that session. Please note that delegates who have not pre-booked workshops will also be admitted.

If you are not able to attend a workshop you have booked, you must cancel your place by emailing events@college-optometrists.org. Workshop places are non-refundable. Workshop substitutions are accepted, subject to availability.

There will be a waiting list for workshop sessions that are fully booked, which will be noted on the programme session selection form once available.

Please note that the following workshop restrictions apply:

College Member ticket holders
College Member two-day ticket holders are entitled to one complimentary workshop and peer review place and can purchase up to an additional four workshop places (where spaces are available).

College Member one-day ticket holders can purchase up to two workshop places and can purchase one peer review place (where spaces are available).

BCLA Full Member ticket holders
BCLA Full Member two-day ticket holders are entitled to one complimentary workshop and peer review place and can purchase up to an additional four workshop places (where spaces are available).

BCLA Full Member one-day ticket holders can purchase up to two workshop places and can purchase one peer review place (where spaces are available).

College Newly Qualified Member ticket holders
Newly Qualified College Member two-day ticket holders are entitled to one complimentary workshop and peer review place and can purchase up to an additional three workshop places (where spaces are available).

Newly Qualified College Member one-day ticket holders can purchase up to two workshop places can purchase one peer review place (where spaces are available).

The following ticket holders are NOT eligible to attend College workshops/College peer reviews but they CAN attend BCLA workshops and/or BCLA peer reviews:

College Pre-Registration Trainee Member ticket holders

  • College Student Member ticket holders
  • BCLA Student Member ticket holders
  • BCLA Affiliate Online Member ticket holders
  • Non-Member ticket holders.

Discount codes

The College of Optometrists and BCLA may run special discount code offers on registration tickets. We reserve the right to withdraw these offers at any time.

In the event of a special discount code offer, additional terms and conditions may apply which will be made available at the time of booking and/or receipt of a discount code.

If you have a discount code, you will need to enter this at the time of booking your registration ticket. A maximum of one discount code per customer can be redeemed at any given time.

Please note that not all registration ticket options will be eligible for discount codes.

Data and marketing

The College of Optometrists is committed to safeguarding your personal information. Whenever delegates provide such information, the College is legally obliged to use delegate information in line with all applicable laws concerning the protection of personal information, including the Data Protection Act 1998 and the General Data Protection Regulation (GDPR) May 2018. We want all interactions with the College and BCLA to be safe environments for our members, non-members, as well as for other organisations and members of the public that interact with us.

Please note that delegate data provided to the College at the time of registration will be shared with BCLA. By registering for the conference, you are agreeing to have your information shared with BCLA.

The College of Optometrists’ websites contain hyperlinks to websites owned and operated by third parties. These third party websites have their own privacy policies, and are also likely to use cookies, and we therefore urge you to review them. They will govern the use of personal information you submit when visiting these websites, which may also be collected by cookies. The College of Optometrists does not accept any responsibility or liability for the privacy practices of such third party websites and your use of such websites is at your own risk.

The College will collect information from delegates in order to ensure that necessary arrangements are made for you in relation to the conference. This may include passing such information to conference venue staff for purposes required for conference delivery. It remains your responsibility to advise the College of any dietary and/or access requirements that you may have. 

The College shares delegate data to meet sector research requests from non commercial third parties, but the data used for this would not leave the College and would, for these demographic and statistical purposes, be anonymised.

If a delegate gives permission, the delegate’s name and contact information (full name, mobile number, email address, job title, organisation, town/city of work and work setting) will be shared with event sponsors and partners/collaborators. Please note, once this information is shared with event sponsors and partners/collaborators, this data then belongs to the relevant event sponsor(s) and/or partner(s)/collaborator(s).

CPD information

In order to be eligible for CPD points at the conference, delegates must:

  • Attend a minimum of 50 minutes per session
  • Actively participate in sessions, and
  • Complete the post-session survey for each session attended.

Photography

We will have a photographer and videographer taking photos and videos at the conference, which may be used for marketing purposes. Please speak to a member of College staff at the conference registration desk if you would not like to be photographed or videoed.

Event postponement and/or cancellation

If the event must be postponed or cancelled, delegates will be updated as soon as possible by the College.

If the event must be postponed, all registrations will be transferred to the updated conference date.

If the event must be cancelled without a postponed date, all registrations will be refunded in full.

Accommodation

The College is not responsible for any issues with accommodation. Accommodation must be organised by delegates.
