Scheme for Registration
Thank you for your patience and understanding while we resolve some of the technical issues with the website. We are prioritising solutions for assessments for trainees who are due to move to the next stage so that they are not held up.
In order to view your results please log into your My College area and click on the Scheme for Registration button and the appropriate stage and visit (please see below for more details).
If for any reason you are still unable to access your results, please contact us.
In order to access member areas of the website, including the member app, you will need to activate your College account. You will find information tailored to you in the My College area, once you have logged in.
Due to the extremely high volume of enrolment applications, there is a delay to our usual 10 working day turnaround to process your enrolment. We are working very hard to process your enrolment as soon as possible. To avoid any additional delays, please ensure you respond quickly to any requests for further information to support your application from the education team.
Please also ensure that your supervisor logs in to their 'My College' area to accept you as a trainee as this is essential to complete your enrolment.
Please accept our apologies for the delay and be reassured that your progression on the Scheme will not be affected.
From now on, please only communicate with your assessor through the messaging system in your My College area and remember to confirm that visits took place.
You can rearrange your visit through the messaging system up to two weeks before. After this time, you may only make changes to the booking in exceptional circumstances. You need to email evidence of your exceptional circumstances to education.admin@college-optometrists.org to request a change of this sort. You should also inform your assessor of any exceptional circumstances through the messaging system.
To progress to Stage Two you need to have completed the logbook and HES requirements as well as the 75 competencies. Please send your evidence (your logbook and your nine HES certificates) to the Lead Assessor if your record is missing any of these elements.
Stage Two visits are normally booked within six weeks of completing Stage One, you can expect at least two weeks’ notice of any visit. Resits are booked two to six weeks from the date of the previous visit.
You will not receive email notification of your results. In order to view your results please log into your My College area and click on the Scheme for Registration button and the appropriate stage and visit.
Although you have access to the messaging system in Stage Two, you should not be using this to contact your assessor under any circumstances.
Independent Prescribing (IP)
If you applied for an IP logbook account prior to the website re-launch (in November) and it has not been set up, please re-apply on the new website to get your account set up. Unfortunately, we aren't able to add accounts onto the new system manually at this stage.
To use the IP logbook you need to register to use the new assessment area of the College website (some of you will have done this already). After registration, you will be sent an activation link so please follow the instructions in the email. Please also ensure you register using the same email you have accessed the College website with previously or this will result in duplicate accounts which will mean you cannot see past records from your account.
Your mentor(s) will also need to register for the website to sign off your logbook sessions. They need to follow the same process as above, but will not need a GOC number. It is also important that they only use one email address for website access, and that this matches the one used when you selected them as a mentor.
This may be down to there being a duplicate record for your mentor(s). Please email exams@college-optometrists.org with your mentor(s) name and email address so we can find the correct record and provide access to the system.
Once you have met all 24 session requirements your log book should be available for your mentor to sign off. If you are having any problems with this, please email exams@college-optometrists.org.
The Final Assessment will take place on 21 March, booking is now open via the 'Independent Prescribing' tile/button in your My College area. In order to book the exam you must ensure you logbook is complete and you have no outstanding invoices in your My College area (you can view these by logging in and clicking on the grey ‘Invoices’ tile/button). If you think you have been assigned an invoice incorrectly please email exams@college-optometrists.org.
We have been resetting any sessions that have not reached mentors. If your mentor has still not received your session please contact exams@college-optometrists.org.
You may be experiencing issues with recording sessions that took place in 2021 on the new online logbook. We expect to have solutions for these in the near future. In the meantime, we recommend documenting sessions that you are unable to record online in the paper logbook. We will advise on the process for uploading these when the system is fully functional.
Early issues with adding mentors to the system have now been fixed and you should now be able to submit sessions to your mentor and add in any additional mentors. If you are experiencing any new issues with this functionality, please email exams@college-optometrists.org.
